Fair Wage and Fair Work Policy
1. Introduction
This policy outlines our commitment to ensuring that all paid staff members are compensated fairly and that the work environment is equitable and respectful for both staff and volunteers. As a charity based in Scotland, we recognise the importance of valuing our team, including both paid employees and volunteers, for their contributions to our mission. This policy is in line with our organisational values of fairness, respect, and transparency.
2. Fair Wage for Freelance and Self Employed Contractors
We are committed to providing fair wages that reflect the skills, experience, and responsibilities of our contracted individuals. This includes:
Compliance with Legal Requirements: We will ensure that all paid employees receive at least the National Minimum Wage or National Living Wage, as applicable, and we will adhere to all UK employment laws and regulations. We adhere to the Scottish Artist Union day and hourly rates of pay when we recruit Freelance Artists Designers for the delivery of project outcomes.
Living Wage: Wherever possible, we aim to pay contractors at least the Living Wage as defined by the Living Wage Foundation. This reflects our commitment to ensuring that those contractors can meet the cost of living in the UK.
Equal Pay: We will provide equal pay for work of equal value, regardless of gender, ethnicity, disability, or other protected characteristics. Regular reviews will be conducted to ensure that there are no disparities in pay among employees performing similar roles.
Rate Reviews: We will regularly review contractor rates to ensure they remain competitive and fair, taking into account the financial situation of the charity.
3. Fair Work for Volunteers
We recognise the invaluable contribution of our volunteers and are committed to ensuring they are treated with fairness and respect. This includes:
Voluntary Nature of Work: All volunteer roles are unpaid and voluntary in nature. Volunteers will not be used as substitutes for paid staff, and they will be given the freedom to choose their level of involvement.
Clear Role Descriptions: Volunteers will be provided with clear and concise role descriptions, ensuring that their duties are well-defined and appropriate for their skills and interests.
Training and Support: Volunteers will receive adequate training and ongoing support to ensure they can perform their roles effectively and safely. This includes access to resources, supervision, and feedback.
Recognition and Appreciation: We will regularly recognise and appreciate the contributions of our volunteers. This includes public acknowledgment, certificates of appreciation, and other forms of recognition that reflect the value they bring to our organisation.
Work Conditions: Volunteers will work in a safe and supportive environment, with access to necessary equipment, facilities, and protective measures as required by their roles.
Reimbursement of Expenses: Where agreed in advance within the parameters of a project, we will reimburse reasonable out-of-pocket expenses incurred by volunteers in the course of their duties, in accordance with our expenses policy.
Insurances: The Foundation will ensure all Public Liability insurances required are in place for volunteers carrying out project specific tasks or requirements relating to the needs of the Foundation.
4. Commitment to Diversity and Inclusion
We are committed to fostering a diverse and inclusive environment for both paid staff and volunteers. This includes:

Inclusive Practices: We will promote inclusivity in our practices, ensuring that everyone feels welcome and valued within our organisation.
5. Grievance and Dispute Resolution
We encourage open communication and will provide mechanisms for both paid staff and volunteers to raise concerns or grievances. This includes:
Grievance Procedures: We will have a clear and accessible grievance procedure in place for employees and volunteers to raise any issues related to their treatment, pay, or working conditions.
Resolution and Mediation: We will handle grievances in a timely and fair manner, ensuring that any disputes are resolved through dialogue and mediation where necessary.
6. Policy Review
This policy will be reviewed annually to ensure it remains relevant and effective. We will take into account feedback from consultants, contractors, volunteers and other stakeholders to improve our approach to fair wages and fair work.
This policy is effective as of 01.09.24 and will be reviewed and updated as necessary.
